Lesson 7 — Customer Database, Quotes and Follow-Up (CRM) for Your Store in Qatar (2026): How Every Customer Becomes a Profile You Sell to Again
Lesson 7 — Customer Database, Quotes and Follow-Up: How Every Customer Becomes a Profile You Sell to Again
Straight answer: Acquiring a new customer in Qatar through ads gets more expensive every year, while the second sale to a customer who bought from you once costs a single message at the right time. The difference between the merchant who grows and the merchant who re-buys customers every month is the customer database: a profile for every customer that gathers conversations, orders, invoices and tags, follow-up with stages and dates, and a quote created, sent and followed up from the same place. That is what people call CRM, and it is not only for large companies.
What you will learn
- What a useful customer profile contains, and what is not worth recording.
- How to build a quote that closes, and the follow-up stages after it.
- Customer segmentation that sells to them again without annoyance.
- The difference between CRM and ERP and when you need each.
First: the customer profile
| Must contain | Do not waste time on | |---|---| | Name and number (one number in a unified format) | Ten fields that never get filled | | Every WhatsApp conversation linked to the profile | Copying conversations by hand | | Orders, invoices and returns | General notes without a date | | Tags: favourite product, area, acquisition source | Categories you never use in a message | | Last contact and next date | |
The rule: every field in the profile must change a message you will send; otherwise delete it.
Second: the quote that closes
1. From the conversation directly: the customer asks, and the quote is created from their profile with products, quantities, price, payment and delivery terms. 2. Sent on WhatsApp as a link or file with a clear validity (three days, for example). 3. Followed up on a date: a reminder on day two and a question on the last day. 4. Approved with a tap, turning into an order and an invoice without retyping. 5. Measured: how many quotes sent, how many approved, and average time to close. What quotation software must do is in quotation software in Qatar.
Third: follow-up in stages
New → first contact → quote sent → follow-up → closed (won or lost) → existing customer. Every stage has a next date and one owner. A customer without a stage and a date is a forgotten customer.
Fourth: segmentation and the second sale
- By time: whoever has not bought for 60 days deserves one offer message, not a campaign.
- By product: whoever bought a perfume is offered the new release from the same line.
- By value: your top 20% of customers deserve priority service and an early offer.
- By source: ad customers differ from referral customers in the messages that suit them.
The same lists are uploaded as custom audiences in ads (lesson 5) to build lookalikes.
Fifth: CRM or ERP?
CRM manages the relationship and the sale; ERP manages the operation after the sale: inventory, invoices, accounting and employees. A small store starts with the first and needs the second when orders and branches multiply. The difference with examples is in ERP vs CRM: the difference.
How the ThreeU system does it
In ThreeU the customer profile is created automatically from the first WhatsApp conversation, store order or POS invoice, and gathers everything without copying. The quote is built from the conversation, sent on WhatsApp, approved, and turns into an order and an invoice. Stages, dates and owners live in one dashboard, and AI suggests who deserves follow-up today and drafts the message. Segmented lists are uploaded to Meta ads from the same dashboard. The selection guide and published prices of the alternatives are in best CRM software in Qatar with WhatsApp.
Lesson exercise
Gather your customers of the last three months in one place (from WhatsApp, the store and invoices). Tag each with three tags: product, area, source. Then send one personalised message to ten of them who have not bought for 60 days, and record the result.

FAQ
My store is small; do I really need a CRM?
If you have more than fifty customers or one employee besides you replying to customers, yes; before that a disciplined sheet with the five fields in this lesson is enough, provided you do not delay the move when the number grows.
Can I send offers to all my customers on WhatsApp?
Yes, with approved marketing templates on the official API, to those who agreed to receive messages, and with segmentation that makes the message relevant; random sending gets accounts closed (lesson 6).
How do I measure follow-up?
The share of quotes approved, average days to close, and the share of customers who bought a second time within 90 days.
